Our Veracross integration is designed to bring your athletics data — schedules, teams, and rosters — into your site automatically. There are a few important things to know about how the Integration works - particularly if you're setting up new teams for the new school year.

Let’s break it down.
How Data Is Pulled from Veracross
To ensure year-round continuity for your Athletics program, we pull data using a rolling date range rather than limiting to a single season or school year.
Here’s what that includes:

Events: Pulled from 24 months in the past through 12 months in the future.

This keeps past seasons visible while new ones begin.

Teams: We identify teams based on the events found within that date range.
-
No events = no team pulled into the system.
-

Sports: Each team is linked to a sport, which allows pages like “Varsity Soccer” to stay organized and accurate.

Rosters: Rosters are connected to individual Team Class IDs.

Only teams with roster data populated in Veracross will display players on the site.

Why You’re Still Seeing Last Year’s Roster
Let’s say your school’s Varsity Football team last year had a Class ID of 99901
. That team had a full season of events and a complete roster, so it continues to appear on your site.
This year’s team — for the 2025–2026 season — has a new Class ID of 99978
, and its schedule has already started appearing.
However, if Veracross hasn’t been updated with the new roster for team 99978
, our system has nothing to display. So your site continues to show the roster from 99901
, because:

It’s the only team with roster data.

The feature on your site is still pointing to that team.
Once Veracross is updated with the new roster, the site will:

Display the new team in filters (e.g., "V Football 25–26").

Allow you to update the feature configuration to show the correct roster.
Why some of your Teams show in the dropdown but not all?
In order to pull Athletics Schedules and Rosters from Veracross they need to contain data, meaning:
- Athletics Schedules need to have at least one event populated with a start time and end time.
- Rosters need to have students assigned to that sport.
Both of the above are required when setting up new team schedules and rosters.
Notes About Filters
Filters like “Current Season”, “Last Season”, or “This Year” work based on date ranges, not academic year boundaries. This means:

You may see overlap of previous and upcoming teams depending on event dates.

You can fully control what shows up using filters and feature settings.
What You Need to Do
In Veracross
Make sure the new team (e.g., Class ID 99978
) has a roster populated — including players, grades, and any staff.
In UBIQ
Once the new team appears:

Navigate to the Feature where the roster displays.

Update the settings to point to the new team.

Or enable filters so users can switch between seasons.
Still seeing the old roster?
That likely means the new roster hasn’t been entered in Veracross yet, so the site defaults to the last available team with complete data.
